FUNCTION/DUTIES:
1) Responsible for receiving indents from Sales& Marketing, direct orders from the export markets for raising Pro forma Invoices and sending the duly signed PFI’s per company mandate to the customers for order confirmation.
2) Continuous follow up with export customers for order confirmation.
3) DOCUMENTATION
i. Liaising with Production and Stores Departments for production and allocation of Customer orders.
ii. Raising export invoices and dispatch of the same to Customer.
iii. Distributing final Invoices to Accounts Dept., Stores and Sales& Marketing for raising the orders in the system.
iv. Submitting copies of Commercial Invoice to our appointed C&F Agent for processing export entry with KRA
v. Instructing the clearing agent to process EAC, COMESA AND Kenya National Chamber of Commerce Certificate of origin where applicable.
vi. Chasing for (iii) above until approvals are obtained.
vii. Prepare and lodge MOH Letter with Pharmacy and Poisons Board for export permit
viii. Liaising with QA/QC for Certificates of Analysis
ix. Supervise loading of export orders at FG Store
4) LOGISTICS
i. Liaising with our clearing and forwarding agent for Air consignments.
ii. Forwarding final documents including the Airway Bill to the Customers on dispatch of goods.
iii. Arranging for transportation to Uganda, Tanzania and JKIA.
iv. Liaising with transporters for loading of export orders to various destinations.
v. Vouching Transport Invoices for payment.
vi. Sorting out disputes if any arising after delivery of consignments to our Customers.
5) RECORD KEEPING & FOLLOW UP.
i. Maintaining and up-dating the export register.
ii. Maintaining exports customer files.
iii. Following up payments from customers on due dates.
iv. Advising the CEO/ Head of Finance on monthly export sales figures/values on a monthly basis
v. Promoting company business and welfare, liaising with other departments and staff as need be, such as Stores, Production, QA/QC and Sales & Marketing staff to ensure availability compliance of orders.
vi. Abiding with company regulations as issued from time to time and promoting inter staff harmony at all times.
